Front Desk Administrative Support (TAP Data Entry) – Minot AFB

Position: Front Desk Administrative Support / TAP Data Entry Specialist
Location: On-site, Military & Family Readiness Center (M&FRC), Minot Air Force Base (Minot, ND)
Status: Full-time, W2 (1 FTE)
Schedule: Typically Monday–Friday, 0730–1630 (up to 40 hours/week; schedule provided in advance by the Government)

Position Summary

OXUS is hiring a professional, customer-focused administrative support specialist to provide front desk services and Transition Assistance Program (TAP) data entry support for the Military & Family Readiness Center (M&FRC) at Minot AFB. This is an on-site role supporting service members and families with high standards of professionalism, accuracy, and confidentiality.

Key Responsibilities

  • Provide front desk reception: greet visitors, manage phone calls, route inquiries, provide basic information, and follow up as needed
  • Perform TAP-related data entry and administrative tracking using Government systems and databases (training provided)
  • Create and format a wide range of documents (memos, letters, reports) using Microsoft Office tools
  • Maintain calendars/scheduling (Outlook), suspense tracking, and administrative workflow support
  • Manage records and files: establish, update, maintain, purge, and dispose of records in accordance with applicable guidance
  • Process incoming/outgoing correspondence and mail; proofread/edit documents for grammar, punctuation, and format
  • Support office operations: supplies, time & attendance support, trackers, and general administrative tasks
  • Demonstrate strong customer service and professional public relations at all times

Required Qualifications

  • Strong proficiency with Microsoft Office (Word, Excel) and comfort working with databases (Access preferred)
  • Excellent written and verbal communication skills; strong attention to detail (grammar, spelling, formatting)
  • Proven customer service/front desk experience (professional, tactful, and courteous)
  • Ability to organize, prioritize, track suspenses, and manage multiple administrative tasks
  • Ability to work reliably on-site and maintain confidentiality with sensitive information

Preferred Qualifications

  • Familiarity with Air Force terminology or prior experience in a military/government office environment
  • Experience with records management, administrative compliance, or similar office operations
  • Experience with scheduling/case tracking tools, customer intake, or program support

Security / Access Requirements

  • Must be able to pass a background check required for base/network access
  • Must be able to obtain and maintain Minot AFB access/base pass
  • Must complete required security and OPSEC training within required timelines after start
